This policy explains how VN Chiropractic, practising as Dr Chloe van Niekerk (“we”, “us”), collects, uses and protects your personal information under the Protection of Personal Information Act 4 of 2013 (POPIA).
Who is responsible

What we collect
- Contact details: name, phone number and email address, when you book, send a message or WhatsApp us.
- Health information: your health history, examination findings, treatment notes and, where relevant, medical aid details. This is special personal information and is collected at your appointment, not through this website.
- Children: for patients under 18, we collect information from a parent or guardian, who must consent on the child’s behalf.
- Website data: technical information such as IP address, browser and pages visited, collected through cookies (see below).
Why we collect it
- To book and manage your appointments and reply to your enquiries.
- To provide chiropractic care and keep the patient records we are required by law to keep.
- To process medical aid claims, with your consent.
- To keep our website secure and understand how it is used.
We do not sell your information and do not use it for marketing unless you have asked us to.
Who we share it with
Only with service providers who help us run the practice, and only what they need:
- Bookem, our online booking system.
- Your medical aid or scheme, when you ask us to claim.
- Website and email providers, including our hosting provider (Afrihost) and form plugin.
- Google, for reviews, maps and website analytics.
- WhatsApp (Meta), if you message us there.
Some of these providers store data outside South Africa. We use providers that protect personal information to a standard comparable to POPIA, or ask for your consent.
How long we keep it
Clinical records are kept for at least 6 years from your last visit (for children, until they turn 21), as required for health practitioners. Enquiries that do not become appointments are deleted within 12 months.
How we protect it
Patient records are kept securely and access is limited to those who need it. Our website uses encryption (HTTPS). No system is completely secure, and we will tell you and the Information Regulator if a breach affects you.
Cookies
We use cookies to make the site work and, with your consent, to measure how it is used. You can change your choice at any time using the cookie settings link on this site. Blocking some cookies may affect how the site works.
Your rights
You may ask us to confirm what we hold about you, to see it, to correct it, or to delete it where the law allows. You may withdraw your consent or object to processing at any time. Email us at drchloe@vnchiropractic.co.za.

We may update this policy. The date at the top shows when it last changed.
